Case & Report Coordinator (Insurance)

As an industry-focused managed services company, Xceedance partners with insurers, reinsurers and brokers worldwide. Clients rely on us to launch new products, drive operations, implement cutting-edge technology and deliver advanced analytics capabilities and process optimization. 

To ensure we are delivering our services on time, we now have decided to build a new Coordinator role within our Krakow Center. This is why we are looking for an experienced Case & Report Coordinator, who will be supporting Operation teams with managing daily requests from the client and generating scheduled reports. As this is a new role, we expect you to influence designing our Case Management processes and shaping the tools.

You will also be responsible for the following activities:


  • Case Management – actively supporting Krakow Operations teams (Pre-Bound, Post-Bound, Client Finance) with Case Management tasks
  • Daily mailbox monitoring – checking the status of all mailboxes assigned to Operation teams and following up, to speed up actions on delayed cases
  • Backlog reduction – backlog analysis and prioritization to help Operation teams focus on the most important tasks
  • Cut-off – preparing plan for monthly cut-off based on the current backlog and priorities
  • Problem Management - Cooperation with Quality Assurance team on identified problems and designing improvement plans
  • Reporting – preparing and delivering reports
  • Supervision – responsibility for Operations controls based on operational reports. Identifying problems and pointing risks and errors to Operation teams


  • Very good knowledge of English
  • Strong communication skills – being able to politely follow up Operations on backlog cases
  • Case (Incident) Management skills – ability to manage cases leading to successful completion
  • Prioritization – understanding the priority and importance of the current tasks and being able to plan and manage workload accordingly 
  • Sense of ownership – taking responsibility for high priority and escalated cases 
  • Advanced Excel skills – proven Excel skills that enable building and formatting client reports (VLOOKUP, PIVOT TABLES - that's a piece of cake for you)
  • Analytical skills – ability to analyze created reports and indicate conclusions to Operations teams
  • Automation skills – ability to improve reports to reduce processing time
